Back up and restore a Scheduler library

Scheduler libraries can be easily backed up and restored to an earlier version. This can be used to create a copy of an existing Scheduler library in a different Aiir organisation, or to roll back changes made to a library.

On this page, we'll show you how to back up and restore a library in Scheduler.

Backing up and restoring Scheduler libraries can only be performed by users with access to all stations that use that library, as backups contain data for all stations.

💾 Backing up a library

Library backups are automatically created daily. You can choose the time this happens by either:

  • While in a library, open the 'Tools' menu in the upper-right corner of your Scheduler library and click 'Back up or Restore'.
  • From the Scheduler landing page (where your libraries are listed), click 'Back up or Restore' from the tabs at the top.

Then press 'Change when automatic backups happen'. The time you choose will be relative to the user who selected the time.

The exact time when your backup is taken may vary depending on how many other libraries are backing up at the same time, which is why we say the chosen time is "starting from". For example, if you ask Scheduler to back up your library at 3am each day but several other libraries are already backing up, your backup will be queued and take place as close to your chosen time as possible.

You can also create a manual backup when required. We recommend doing this before any substantial changes to your library. You can do this by going to the 'Back up or Restore' page as described above, then pressing 'Back up now...' followed by 'Start backing up now'.

Once the backup has been created, it will be stored in the cloud. You can also press 'Download' to save a local copy to your PC.

For manual backups, only the most recent backup is stored in the cloud. Once a new manual backup is created, the previous one will be replaced.

🗂️ Restoring from a saved backup

Restoring a backup will completely replace the current version of your library with your selected version.

Backups cannot be partially restored. When you restore a library, all its items, categories, and clocks will roll back to their state at the time of your selected backup.

You can restore a backup by either:

  • While in a library, open the 'Tools' menu in the upper-right corner of your Scheduler library and click 'Back up or Restore'.
  • From the Scheduler landing page (where your libraries are listed), click 'Back up or Restore' from the tabs at the top.

Then press 'Restore a backup...' and choose whether to restore one of your recent cloud backups or a local ZIP file you previously downloaded.

If you access the Backup and Restore page from the Scheduler landing page, you will be asked whether you want to replace an existing library or create a new one (if your Scheduler licence allows you to create an additional library).

You can also restore a backup of a deleted library from this page if it was deleted within the last 30 days.

When you upload a file, the backup will be checked to ensure it has not been modified since it was exported from Scheduler.

Once checked, you will see how many audio items, logs, categories, clocks and stations are contained in the backup.

You also need to map the stations contained in the backup to those in your organisation. If you don't map a station, its data won't be restored from the backup.

Stations can only be associated with one library at a time, so if you plan to replace the library used by a station with a backup library, you will need to unlink it first.

Once the restore process is underway, it cannot be stopped or reversed.

After a library has been restored, you will receive a notification in Aiir.

🫴 Sharing backups

Once created, Aiir Scheduler backups can also be shared with other Aiir organisations.

This allows stations that created a new Aiir organisation for Scheduler to easily migrate their library to be on the same account as their other Aiir products.

Music consultants can also create a range of formats and easily roll out complete libraries with items, categories, clocks and more to stations using Aiir Scheduler.

Other music scheduling software may also be able to import a library from Aiir Scheduler, just as you can bring an existing library into Scheduler.

If you are restoring a backup from another organisation with items created or modified by users who aren't in your organisation, the user restoring the backup will replace the original users in an item's history. For example, any changes made before the library is imported will be attributed to the user who imported it.
