Voucher Store

As of April 2024, this product has been discontinued and is no longer supported.

Voucher Store lets you sell vouchers on your website, with a shopping basket system, reservation and availability management, and PayPal integration.

You are responsible for sourcing the vouchers to sell, but Aiir can generate them as PDF documents when purchased.

🎟️ Getting started

Once the Voucher Store has been enabled for your organisation, you will see a new button added to the Aiir menu.

You can have one Voucher Store per website, so users in multi-site organisations will be asked to choose which store they want to manage.

You can click the 'Change site' button at the top of Voucher Store pages to switch between them.

To get started, you will be asked to create your first category. These work in a similar way to news articles or other sections of Aiir, grouping similar vouchers together. Multi-site users have the option to share the same categories across their stores.

Once you have at least one category, you'll then be taken to your Vouchers page. This is where you can manage your vouchers and categories.

The Vouchers tab includes those that are available for sale, upcoming, or sold out. You can see the number already purchased, and change the order they are listed in.

But before you begin populating your store, head to the Settings tab to continue setting it up.

In Settings, you can configure the name of your store if you want to give it a unique brand, specify your local currency and choose a logo you would like to apply to PDF vouchers generated in Aiir.

The most important part for any business is ensuring you are getting paid for the vouchers you sell. To do that, you will need to get your Aiir site integrated with a PayPal business account.

The Settings page also allows you to specify an email address where notifications will be sent as transactions happen, as well as writing your Terms & Conditions and voucher page content.

🗂️ Categories

Each voucher is assigned to one category. Each category has its own page on your website, where all the vouchers in that category are listed. The image you select for a voucher will appear on the main voucher index page.

🗄️ Archiving

Vouchers can be archived, hiding them from view without actually being deleted.

You won't be able to delete a voucher once the first purchase has been made, so archiving is essential for keeping things tidy.

There's a button next to each voucher in the list to archive it, as well as the Archive tab where you can look up previously archived vouchers, and make them available again.

Vouchers can be un-archived or deleted altogether if none have been sold.

📝 Creating and editing vouchers

Before you can create a voucher, you must first create a client and a category to which to assign the voucher.

You will also need to fill out the full description (the page content shown on the voucher store page itself) as well as any voucher-specific terms and conditions. These terms will be shown on the page and also included on the voucher PDFs themselves.

If you have a set of default Terms & Conditions defined in the Settings tab, these will be automatically populated for you on each voucher, but they can be modified with any voucher-specific rules.

If you specify a location where the voucher can be redeemed, a map will be shown on the voucher page.

📋 Purchase reports

Reports can be generated to see the most recent purchases through your store, as well as searching for previous purchases, by voucher, transaction ID or date range. 

If a customer says they have not received the email containing a link to the voucher, but the Purchase Reports section shows that their purchase was successful, you could download the voucher from here and send it to them. 

🛍️ Working with clients

Each voucher must be associated with a client, so you'll need to create a client before you can get started.

The Clients section lets you create new clients and see a list of all available clients.

A client is sent a link and password so that they can log in to your website and see the details of vouchers which have been purchased. They can check vouchers which have been redeemed. 

The Voucher Store cannot produce a list of voucher IDs to send to a client, as they are generated individually as vouchers are purchased.

💰 Sales execs

You can optionally associate a voucher with a single sales exec. There is a Sales Execs tab where you can set them up.

Sales execs can be sent an email each time a voucher is purchased.

From the Sales Execs tab, you can also access a list of vouchers associated with each exec, and see how many of each voucher have been purchased.

✍️ Issuing vouchers manually

If there is a problem with automatically issuing a voucher to a customer, you may need to step in and manually issue one. You'll be notified of problems if your email address is in the Notify emails field, in the Settings section.

You may need to compare the email you get from our service, with details relating to the specific transaction which you'll find in PayPal.

The Issue section lets you manually request a voucher and avoid the customer having to go through the payment process again.
